Plan-managed is one of the easier setups for buying assistive technology — because someone else handles the paying and claiming for you. The trick is just knowing the steps.

The quick answer

If you're plan-managed, you usually don't pay out of pocket. You choose the item, the provider sends the invoice to your plan manager, and your plan manager pays it from your plan and claims it from the NDIS. You can use a wide range of providers — registered or unregistered — subject to your plan manager's policies. The item still has to be an NDIS support that fits your plan.

What “plan-managed” means for buying

A plan manager is a provider funded in your plan to handle the money side: they pay your providers, check and process claims, and help you keep track of your budget. The funding stays with the NDIS until your plan manager submits a claim for an invoice.

For you, the practical upside is simple: you generally don't pay for assistive technology yourself. The provider invoices your plan manager, and your plan manager takes it from there.

How buying actually flows

Here's the whole process, start to finish:

No out-of-pocket payment, no portal claim to make yourself. Your main job is choosing a suitable item and giving the supplier your plan manager's details.

You can use registered or unregistered providers

A real benefit of plan management is choice. You're not limited to NDIS registered providers — you can use a wide range of suppliers, subject to your plan manager's own policies and agreement. (Your plan manager themselves must be a registered provider.) That means you can pick the supplier with the right product, price, service or delivery — as long as the item is an NDIS support that fits your plan.

Your responsibilities

Plan management handles the money, but a few things are still yours:

  • The item is an NDIS support, relates to your disability support needs, and fits your plan.
  • The right funding is available in the right budget.
  • You give the supplier your plan manager's details so the invoice goes to the right place.
  • For mid-cost, higher-risk or uncertain items, you have any advice or evidence that applies — and note your plan manager may ask for a quote or service agreement for some items.

The mistake people make most

Assuming “plan-managed” means “automatically approved.” A plan manager processes the payment — they don't widen what's fundable. If an item isn't a reasonable and necessary NDIS support that fits your plan, a plan manager can query it or decline to pay it. So the item still has to be right; plan management just makes the paying-and-claiming part easy.
